About the Role
An exciting opportunity exists for a Music Administration Assistant to join our Arts department to cover Long Service Leave in Term 2 2025. The is a part-time position (0.8FTE) for Term 2 2025.
The Music Administration Assistant must have:

Proficiency in working with Microsoft packages, including Outlook, Word and Excel

Accurate data entry
-
Excellent communication skills – written and verbal
-
Excellent Customer Services Skills
-
Ability to work independently using own initiative as well as in a cooperative team environment

A current Working with Children and Police Check are requirements of the role
Duties:
-
Organise the rotation of instrumental student lessons (approximately 250 – 300) with consideration for all the activities that are undertaken throughout the School and the requirements of all stakeholders.

Communicate, to all stakeholders, student lesson times and tutor availability through a variety of methods (electronic and otherwise).

Collate the tutor/student attendance sheets.
-
Record the relevant pay sheet data and direct these to the Finance Department.

In the period after Instrumental Timetables have been posted: Assist in making adjustments and organising changes to Instrumental Student Timetables as a result of unexpected issues that impact on the timetable process.

Assist with the organisation of prospective instrumental student audition rosters.

Process New Student Applications and collate replies.

Answer queries from stakeholders (school staff, parents, tutors, students etc.) regarding the Instrumental Music Program and the Instrumental Music Timetables.

Assist with the stocktake process and the accurate records management of music assets (loan instruments).

Assist with administrative preparation for festivals, examination boards, competitions, concerts, camps, tours, excursions and incursions (lists/rosters).

Assist with the administrative aspects of the School Musical (lists/rosters).

Organise the Year 6 Brass Scholarship testing and collate results.

Other administrative duties as required by the Business Manager and/or Principal (usually through the Head of Performing Arts) e.g. the correlation of student lists and maintenance of the Music Student Database.

Any other duties as required by the Head of Arts
