Join us and work in a holistic education setting in an established Steiner School, offering Early Childhood learning, Primary and High School Steiner Education. Our school is situated in Denmark, a small coastal town in the Great Southern. 

 

The Administration Officer plays a pivotal role in the smooth running of the school office. Upholding the highest standards of customer service, the Administration Officer displays and maintains a high level of integrity and trust. They promote a culture of mutual respect and encouragement, and work with others in a professional, ethical, and co-operative manner. 

 

The Administration Officer provides a high-quality front-line reception service to families, staff and visitors.  The candidate requires high-level organisational and communication skills, as well as team-oriented attributes. They strive to improve their own practice and to make office administration systems and processes as smooth and efficient as possible. As such, they will be required to set priorities and schedule work to meet deadlines. 

 

The Administration Officer reports to the principal and works in a collaborative team environment alongside the Finance Manager and Enrolments Officer.

Position Type:  Permanent Full time or 4 days considered (probationary period 6 months) 

Hours:  8am to 4pm 

Start date:    22 May 2024 

 

 

Specific Duties & Responsibilities 

 

Provide a professional reception service to the school which includes: 

Receive all visitors to the school and direct as required, ensuring visitor procedures are met. 

Answer and manage all incoming telephone calls and messages in a timely manner. 

Create and implement efficient office procedures in consultation with management. 

Assist with the management of school assets, including assistance with the administration of out-of-hours use of school facilities, coordinating and negotiating maintenance and repairs and maintaining key registers. 

Administer the operation of school databases, records and management information systems. 

Maintain student attendance records. This includes: contacting guardians regarding absences, registering information on school database, keeping staff updated on student attendance during the day. 

Provide support to students as needed. For example, assisting with printing, First Aid, referring on to other staff where appropriate. 

Where appropriate or required, additional duties may include; 

  • Preparation of government compliance documentation 

  • Providing relief staff with any information they require. 

  • Overseeing the bus bookings for the school. 

  • Creating, distributing and collating information from online permission forms. 

  • Assisting in the preparation of Student Academic Reports. 

  • Managing the bookings for events such as Parent Education Sessions. 

  • Assisting in other tasks to ensure the smooth running of the school, such as maintaining stationary supplies. 

  • Assisting with enrolments 

  • Website production and maintenance/updates, social media marketing and newsletter production. 

  • Online calendar maintenance. 

  • Finance – under the supervision of the Principal and/or Bursar, day to day banking, and general accounting duties including receipting and ordering, authorisation of financial payments, payroll etc, when required. 

  • Collecting, distribution and posting mail. 

  • Bus Duty (when required). 

  • Maintaining filing, record systems and archiving. 

  • Assisting with the organisation of excursions/camps. 

  • Ordering cleaning and maintenance supplies. 

  • Organising catering for Board Meetings (as required). 

  • Co-ordination and production of online booking system for Parent/Teacher interviews. 

  • Co-ordination of the annual school photograph process. 

  • Other duties as requested by staff.

Selection Criteria 

 

Essential 

  • Previous experience in reception and/or administrative roles. 

  • Proficient with Microsoft Office and Student Management Systems. 

  • Professional oral and written communication skills. 

  • An ability to maintain a professional attitude to all aspects of the job. 

  • Understanding of confidentiality and ability to recognise and deal appropriately with sensitive issues. 

  • A positive and professional attitude in supporting school children’s needs. 

  • Strong organisational skills and a capacity to prioritise workload - a high level of accuracy and attention to detail is needed in this role. 

  • Ability to work in a high-pressure environment under general direction, showing initiative and motivation, within established guidelines. 

  • We are a small team so you will need to be flexible within the role. 

 

Highly Desirable 

  • Familiarity with the operations of a Steiner school or other educational institution. 

  • An appropriate service industry or administrative qualification. 

  • Database input/maintenance experience. 

  • Marketing experience with knowledge of social media platforms, Adobe Creative Suite and Canva.

Current Working with Children Card  

  National Police Check (current) 

  First Aid Certificate / CPR (current) 

  WA Drivers License
